Recruitment Privacy Notice

1. About this notice

This notice explains how Ashbury collects and uses your personal information when you apply to work with us. The notice covers applicants for all our job openings.

In this notice, “the local market” means the country or territory where the role you are applying for is based, and “local law” means the data protection law that applies there. Where local law gives you stronger rights, those rights apply.

2. What information we collect

We collect only what we need to assess your application and, if we make an offer, to set up your employment with Ashbury.

When you apply:

  • Your name, email address, phone number and the city or country you live in
  • Your CV, cover letter, work samples and links to professional profiles, such as LinkedIn
  • Your employment history, education, qualifications and skills
  • Your answers to application questions, and your salary expectations and notice period
  • Whether you need a visa or work permit, and whether you need any adjustments for the interview
  • Our interview notes, assessment submission, and any recordings of interviews (we will tell you before recording)
  • Correspondence between you and Ashbury.

If we make you an offer:

  • Reference details and the references we receive
  • Identity and right-to-work documents, such as your passport, visa, work permit or national identity card
  • Results of any background checks relevant to the role, such as verification of qualifications or previous employment
  • Information needed to prepare your contract, such as your home address and date of birth.

We do not ask for identity numbers, date of birth, marital status or family details at the application stage unless the local law requires it.

3. Where we get your information from

Most information comes directly from you. We may also receive information from:

  • Recruitment agencies that introduce you to us
  • People who refer you to us, including our own staff
  • Referees you name, once you have agreed that we can contact them
  • Background-check providers, if we make you an offer and the role requires checks
  • Publicly available professional sources, such as your LinkedIn profile.

4. Why we use your information

We use your information to decide whether to offer you a role, and to prepare for your employment if you accept. By submitting your application, you give us your consent to use your information to assess your application.

You do not have to provide your information, but if you do not provide what we reasonably need, we may not be able to consider your application.

5. Sensitive information

Some information needs extra protection, such as information about your health, ethnicity, religion or criminal record. We collect it only where we need to, and we keep it separate from your application.

We ask whether you need any adjustments for interviews or assessments. We use your answer only to make those adjustments.

Please do not include sensitive information in your CV or application unless it is relevant to the role.

6. Who have access to your information

Access to your information is limited to the people involved in recruiting for the role, such as the hiring manager, interviewers, and our Operations team, who are responsible for the hiring process. We may also share it with:

  • Our professional service providers, such as the recruitment agency that introduced you, and providers we engage for our IT, legal and insurance needs
  • Referees and background-check providers, only after an offer is made and with your agreement
  • Government authorities, such as immigration authorities for work visas or permits, or where the law requires us to share information.

7. How we keep your information secure

  • Information about your application is stored on and transferred within Ashbury’s secure system, currently provided by Microsoft, and is protected by Microsoft’s latest security provisions. Access is limited to people involved in the recruitment, using password-protected accounts with multi-factor authentication.
  • Where we have to transfer your information to our professional service providers, under existing arrangements with Ashbury, they must keep your information confidential and secure. If a data breach affects your information and creates a risk to you, we will notify you and the relevant regulator where the law requires.
  • Your information may be transferred outside the country where you reside in, as we manage recruitment centrally for all our offices. Your application will be handled by the hiring manager, interviewers and members of the Operations team, who are located across markets where Ashbury has an entity in, and are employed by the respective local entity

8. How long we keep your information

  • If your application is unsuccessful, we will keep your information for a duration allowed by local laws, and then securely delete it
  • With your consent, we may keep your information for longer for future job opportunities
  • If you join us, the information from your application becomes part of your employment or engagement record and is kept in line with local laws concerning employee privacy
  • Some records, such as copies of right-to-work documents, must be kept for set periods under local law.

9. Your rights

You have rights over your information. You can:

  • Ask for a copy of the information we hold about you
  • Ask us to correct information that is inaccurate or incomplete
  • Ask us to delete your information
  • Withdraw your consent where we rely on it, such as for future job opportunities. This does not affect anything we did before you withdrew it.


Depending on the market, you may also be able to:

  • Object to, or ask us to restrict, how we use it.
